Office Relocation

Office Relocation in Nairobi, Done While Nobody Is Working.

Every hour your team cannot work costs more than the move does. So we run office relocations in Nairobi after hours and over weekends — desks labelled, machines handled properly, and everyone sitting down and working on Monday morning.

What Is Included

The Parts of an Office Move That Go Wrong

Anyone can carry a desk. The difficulty is the server, the archive, and thirty people who each want their own chair back.

IT, Servers and Workstations

Machines are powered down, cables coiled and bagged to the machine they belong to, and screens wrapped and carried upright — never stacked flat under something heavy. Server and comms cabinet moves are scheduled with your IT people, not around them.

Labelled Desk by Desk

Every crate, monitor and pedestal is tagged to a person and a seat number on the new floor plan. People arrive and find their own things where they should be, instead of a room full of anonymous boxes.

Files and Confidentiality

Archives, HR files and client records are boxed, sealed and numbered against a list — and they stay sealed until they reach the new cabinet. Nothing loose in the back of a truck, nothing left on a landing overnight.

Building Management Handled

Goods lifts, loading bays, after-hours access, security passes and the move-in permit most Nairobi office blocks require. We tell you exactly what to ask your building manager for, and when.

Furniture Broken Down

Workstation pods, partitions, boardroom tables and shelving come apart, get wrapped and go back together on the new floor — laid out to your plan, not dumped in the middle of the room.

One Point of Contact

One person from our side runs the move and answers your phone through it. You should not be chasing three numbers on a Saturday night to find out where the boardroom chairs are.

The Real Problem

Downtime Is the Only Cost That Matters.

A cheap office move that eats two working days is not cheap. Thirty people who cannot log in on Monday morning will cost you more than the whole relocation.

That is why we build the schedule backwards from the moment your team walks in. Pack down on Friday evening. Move overnight or across Saturday. Rebuild, place and reconnect on Sunday. For bigger offices we phase it floor by floor or department by department, so half the business keeps trading while the other half moves.

  • After-hours and weekend moves so trading hours stay trading hours.
  • Phased moves for multi-floor offices — nobody has to shut the whole company for a day.
  • IT last out, first in so your people have machines to switch on before they have chairs to sit on.

How It Works

Four Stages, Built Around Your Working Week

The office relocation itself is the short part. The planning is what protects Monday.

01

Site Survey, Both Ends

We walk the old office and the new one. Desk count, machines, archives, goods lift, loading bay, access hours and the new floor plan.

02

Move Plan and Labels

A written quote, a schedule, and a labelling scheme tied to the new seating plan. Your team packs their own desks into numbered crates.

03

Move Out of Hours

Friday night, Saturday or overnight. Machines down and bagged, furniture broken down, files sealed, everything loaded against the inventory.

04

Set Up Before Monday

Desks rebuilt to plan, crates delivered to the right seats, screens and machines back on the right desks, and the empty crates collected.

Questions

Office Relocation, Answered

What operations managers ask us before signing off a move.

Yes — it is how most office moves should be done. Our standard hours are Monday to Saturday, 9:00 AM to 5:30 PM, but office relocations routinely run outside them because downtime is the expensive part. Tell us the window you need and we will schedule the crew around it.

The limit is usually your building, not us: many Nairobi office blocks restrict goods-lift use and after-hours access. Get us the building rules early and we will work inside them.

We move them, wrap them and carry them properly — screens upright, cables coiled and bagged to their own machine, nothing stacked under weight. What we do not do is take responsibility for your network configuration. Decommissioning and reconnecting servers should be done by your IT team or provider, and we schedule the move so they have the access and the time to do it.

Because nothing is anonymous. Before the move we agree a numbering scheme with your new floor plan, and every crate, monitor and pedestal gets a label naming the person and the seat it is going to. Staff pack their own desk contents into their own numbered crates. On the first morning, everyone walks to their seat and their things are there.

Files are boxed, sealed and numbered against a list you keep. Sealed boxes go straight from the old cabinet to the new one and are opened by your people, not ours. If you want a member of your team to sign boxes in and out at both ends, we will build that into the schedule.

No. Larger offices are usually better phased — one floor or one department at a time, over successive evenings or weekends. It keeps most of the business trading throughout, and it means the goods lift is never the bottleneck. We will map the phases with you at the survey.
